HR Assistant

Job Summary: To further the Agency's mission by assisting the Human Resources department in the delivery of human resources programs and services. Provides day to day human resources support and counsel to Agency staff regarding HR administration. Enters required training/auto insurance for Ascentia Residential in Conductor. Assist when needed with the collection of employee timesheets, sort, adding clock numbers,verify benefit time, separate timesheet and sorts alphabetically; then gives timesheets to Payroll/HRIS Administrator for entry. Assist on processing, verifying and imputing employees benefits information in HRIS systems. Assists with clerical functions to include but not limited to: copying, sorting and folding documents for HR mailing. Helps with interpreting Agency HR policies, procedures, and practices. Prepares, analyzes data and distributions reports as needed. Identifies and resolves HRIS problems, errors and complaints. Proactively works to analyze issues that create HRIS problems. Without compromising on accuracy, timeliness or compliance provides first class customer service to employees at all levels of the organization. Prepares and complete the employment verifications request. Prepares and completes employee social request. Maintain the data base that records the professional license or certification information on each employee. Monitor and distribute the HR e-fax system. Assists staff login and navigating the HRIS system. Demonstrates awareness of, follows all safety policies and procedures, and adheres to all recommended safe work practices.Also contributes to the control of hazards in specified area of responsibility. Performs other duties or special projects as required or as assigned. Educational/Training Requirement Minimum high school diploma or equivalent required. College coursework in Human Resources, Business administration or related field a plus. Prior experience with HRIS applications Professional Experience: Previous office experience in order to become familiar with general office administration functions and procedures. (Course work in Office Administration may substitute for office experience requirement.). Knowledge, Skills and Abilities: Basic knowledge of Human Resources disciplines (eg Recruitment, Employee Relations, Benefits and Compensation). Computer Proficiency in HRIS Software Windows based PC skills to include Word, Excel, and PowerPoint in order to create reports Strong data entry math skills both speed and accuracy required. Knowledge of administrative and clerical procedures and systems such as, managing files and records, and other office procedures. The ability to be detail oriented and organized in order to accomplish day-to-day tasks in an accurate, timely and efficient manner. Ability to be confidential in all staffing matters Customer service orientation and appropriate professional office demeanor. Good interpersonal skills, including successful teamwork. Good Verbal and written communication skills. General knowledge of pay principles. Flexibility to successfully manage multiple assignments and supervisors. Strong organizational skills. Ability to work and communicate with other agency staff. Ability to work independently. Demonstrates flexibility and adaptability. Demonstrates motivation, reliability and commitment to team working. Excellent customer service/interpersonal skills: comfortable responding to callers and responding to multiple demands on time and attention. Excellent organizational and time management skills. Good judgment and decision-making ability.
